This Privacy Policy explains how K-garoo Works ("Company", "we", "us", or "our") collects, uses, and protects information in connection with your use of the COALA-LiVE service ("Service").
By using the Service, you acknowledge that information may be processed as described in this Privacy Policy. If we make material changes, we will publish the updated version on this page with a revised "Last Updated" date.
1. Information We Collect
Depending on how you use the Service, we may collect the following categories of information:
- Email address, authentication details, and basic account information.
- Meeting transcripts, summaries, reports, and context or Yarn content generated during sessions.
- Documents, notes, and other materials uploaded by users for contextual assistance.
- Support messages, device identifiers, installation identifiers, and service usage telemetry.
- Billing and order records needed to process subscriptions, boosts, payments, refunds, and fraud-prevention checks.
2. Audio Data Processing
Meeting audio may be processed in real time in order to generate speech transcripts, translations, and AI-assisted responses during live sessions.
Audio data is processed in real time and is not stored by COALA-LiVE as a default product behavior. Text transcripts, reports, and other session artifacts may be stored when required to deliver the features you choose to use.
3. How We Use Information
Information collected through the Service may be used to:
- Provide AI-assisted meeting functionality.
- Generate transcripts, translations, summaries, and contextual responses.
- Maintain account security, authenticate users, and process billing or subscription events.
- Maintain, operate, troubleshoot, and improve the performance of the Service.
- Respond to user inquiries, provide customer support, and enforce our policies.
4. Service Providers and International Transfers
We may use service providers to operate parts of the Service, including providers for AI inference, speech processing, billing, and email delivery.
These providers may include OpenAI, Lemon Squeezy, and SMTP or transactional email vendors. Personal data may be processed in countries other than your own where we or our providers operate.
5. Retention and Deletion
We keep personal data only for as long as it is reasonably necessary for the purposes described in this Privacy Policy, unless a longer retention period is required or permitted by law.
- Email authentication challenges: deleted within 7 days after expiry or use.
- Onboarding drafts: deleted after 30 days of inactivity.
- Desktop download email events, device registrations, live-session state, and heartbeat records: deleted after 90 days.
- Session content, transcripts, board cards, reports, context memory, and Yarn user content: deleted on account deletion and automatically purged after 6 months of account inactivity.
- Support conversations and security or admin audit logs: deleted after 12 months, subject to operational needs.
- Deleted-account tombstones: retained for 12 months to help prevent unwanted account recreation conflicts.
- Billing, webhook, and order evidence: retained for up to 5 years.
- Backups are retained for no longer than 30 days, and deletion requests are handled on a beyond-use basis in backup systems.
You can delete your account and associated live content from the desktop app account settings. We also run scheduled purge jobs to remove data that has reached its retention limit.
6. Data Security
We implement reasonable technical and organizational safeguards designed to protect user data against unauthorized access, loss, misuse, or disclosure.
Customer data is protected with encryption in transit and at rest, together with access controls and operational safeguards appropriate to the Service. However, no method of transmission or storage can be guaranteed to be completely secure.
7. User Rights
Users may delete their account and associated live data through the Service or request help through the contact address listed below. Depending on your location, you may also have rights to request access, correction, restriction, or deletion of personal data.
We may retain limited information where required for legitimate operational, security, tax, accounting, fraud-prevention, or legal reasons.
8. AI-Generated Assistance
COALA-LiVE uses artificial intelligence to generate meeting assistance, suggestions, translations, and summaries. These outputs are automated and may not always be accurate, complete, or suitable for a given context.
Users remain responsible for reviewing and deciding how to use AI-generated information. We do not use customer content submitted through the Service to train our own foundation models.
9. Changes to This Policy
We may update this Privacy Policy from time to time. When changes are made, the updated version will be published on this page together with a revised "Last Updated" date.
10. Language
The English version of this Privacy Policy is the legally binding version. Any translated version is provided for convenience only. In the event of any inconsistency, the English version will control.
